Triple White Weddings Ltd – Vehicle Hire Terms and Conditions

Please take some time to read these terms and conditions. They are here to help you understand what to expect from us and what your responsibilities are.

By signing the booking form you are also agreeing that you have read, understood and agree to abide by these terms and conditions. If there is anything you are not sure about please contact us.

The hirer is entirely responsible for ensuring the vehicles are suitable for their needs before making a booking. By confirming your booking with Triple White Weddings Ltd you are entering into a legally binding contract. Accepting these terms and conditions forms part of that contract.

The term ‘Triple White Weddings’ or ‘us’ or ‘we’ refers to Triple White Weddings Ltd. The term ‘you’ or ‘your’ or ‘hirer’ refers to you, the named hirer.

About your booking

You will be given an individual quotation based on the details of your requirements that you supply to us. Quotations are valid for 14 days and any changes made to your booking after the quotation has been accepted by you may incur further charges. The quotation will only be confirmed once all the details of the pick up points, routes, people travelling in the vehicle and any other requirements have been agreed between you and Triple White Weddings.

On your approval of the quotation we have supplied to you, your reservation will be confirmed only upon receipt of the non-refundable deposit of 25% or a minimum of £100 for the Beetle, £150 for the Bus, £200 for two vehicles or £250 for three vehicles. You will receive an email confirmation of the details of your booking upon receipt of the deposit and your signed booking form. We will only refund this deposit at our discretion under exceptional circumstances.

If there are less than 8 weeks before your wedding date at the time of booking, a deposit of £200 is required for the Beetle, £100 of which is non-refundable, £250 for the Bus, £150 of which is non-refundable or £300 for two vehicles, £200 of which is non-refundable or £350 for three vehicles, £250 of which is non-refundable.

Full payment for the hire of the vehicle must be made no later than 4 weeks before your wedding date. If the balance is not paid by this date, your booking may be cancelled.

If, at the time of booking, your wedding date is less than 4 weeks away, payment in full will be required in order to confirm your booking.

Triple White Weddings will check all details in your booking form with you prior to your wedding but we cannot be held responsible for any issues resulting from inaccurate information contained in your form.


Cancellations must be made in writing no later than 30 days before the wedding date, upon which any payment you have made will be returned to you minus the non- refundable deposit. If you cancel your booking with less than 30 days before your wedding date you will still be asked to pay the full amount outstanding and no refund will be offered. We reserve the right to pursue full payment to compensate our loss of business.

Conditions of hire

Standard hire is for a maximum of 4 hours from the agreed pick-up time. Any booking that requires the vehicle for a longer period of time will be subject to additional costs of £25 per half hour. If your booking runs over this time unexpectedly, you will be required to pay a rate of £25 per half hour and you will be charged for the full half hour whether or not you require the full thirty minutes. You may be asked to make this payment on the day.

The standard cost of hire is based on a booking located within 30 miles of the vehicle’s base in Newton Longville. We may be able to accommodate a booking outside of this limit – please contact us for an individual quote.

There is an upper limit of 80 miles’ travel per standard booking, which includes travel to and from the vehicle’s base. If your route is further than 80 miles in total, this will be subject to an additional cost – please speak to us to discuss your requirements.

Triple White Weddings may wish to take photos to use in their promotional material, website and social media. You can indicate on the booking form whether or not you are happy for us to take photos. Where possible, any photos taken will be supplied to you electronically but Triple White Weddings are not obliged to provide this to you.

Triple White Weddings reserves the right to refuse a booking.

About the Vehicles

The vehicles will be valeted prior to every booking.

The maximum number of passengers that can travel in the Beetles is 3. The maximum number of passengers that can travel in the vintage Bus is 8. The maximum number of passengers that can travel in the T5 Caravelle is 6.

There is a strict no smoking policy inside and around the vehicles.

Food or drink may not be consumed in the vehicles without prior consent from Triple White Weddings.

Pets are not permitted to travel in the vehicles without prior consent from Triple White Weddings.

About your responsibilities

You will be responsible for the conduct of your party. Triple White Weddings reserves the right to refuse entry to the vehicle to any person(s) whose actions are detrimental to the safety of any person(s) in the vehicle or to the vehicle itself, including passengers who appear to be intoxicated. Triple White Weddings has a zero tolerance policy towards any offensive, abusive or threatening language or behaviour.

Under any of these circumstances the booking will be cancelled, we will not be responsible for the onward journey for you or your party, and no refund will be given.

You will be held responsible for any damage caused to the vehicle’s interior or exterior by you or any member of your party during the period of hire. Passengers must allow the chauffeur to open the doors and windows. Children must be supervised at all times in and around the vehicles. If there is any damage to the vehicle, including the bodywork or paint, caused by you or any member of your party, you will be liable for all the repair costs. Triple White Weddings will determine where the vehicle will be repaired. If there is any damage to the interior of the vehicle including damage caused by food, drink, illness or any other means, you will be issued with a valeting charge for any cleaning required. If the damage causes the vehicle to be off the road and prevents it from being used at subsequent bookings, you will be liable for any loss of earnings.

About our responsibilities

Triple White Weddings endeavours to undertake a test drive of the route prior to your wedding day to ensure that the driver is familiar with the area and pick up/ drop off locations.

Triple White Weddings makes every effort to maintain the vehicles in excellent condition, however due to the vintage of the vehicles we cannot be held responsible for unforeseen issues that result in a delay, change of vehicle or cancellation. In the unlikely event of a breakdown or accident on your wedding day, we will attempt to have the vehicle repaired or will arrange alternative transport to ensure you and your party reach your destination. You accept that under these circumstances the alternative vehicle will not be a classic car. If we are unable to arrange onward travel of any sort to your ceremony we will issue a full refund. If a breakdown occurs after the ceremony but before the reception, Triple White Weddings will arrange alternative transport and a partial refund may be given at the discretion of Triple White Weddings.

Triple White Weddings cannot be held responsible for any mechanical breakdowns, nor for any inconvenience or disappointment caused by unforeseen breakdowns. By booking with Triple White Weddings you accept there is an inherent risk of unforeseen mechanical issues, as with any vintage vehicle. You also accept that the vintage vehicles may not offer the same level of comfort as a modern vehicle.

Triple White Weddings will not be held responsible for a late arrival or missed connection due to circumstances that are beyond our control, including but not limited to traffic jams, access issues, road closures, adverse weather conditions, or any other circumstance deemed an act of God.

In the unlikely event that the vehicle becomes unavailable prior to your wedding date, we will try to arrange for an alternative vehicle. If you do not wish to accept the alternative offered, you reserve the right to a full refund.

Triple White Weddings cannot be held responsible for any injuries caused through an accident, whatever the cause and regardless of fault. We may fit dash cameras to our vehicles as a safety measure. Footage will only be saved in the event of an incident.

We will not accept responsibility for any loss or damage to personal property while using our vehicle.

About the passengers

We regret that we cannot transport any children under the age of 3 in any of our vehicles. Children over the age of 3 travelling in Emmy-Lou or Alfie will need to have a child seat provided by you. Children over the age of 3 travelling in Seren or Charlie will travel without a car seat. Children will not be allowed to travel on an adult’s lap under any circumstances. Children will not be allowed to travel in the front seats. All passengers must wear the seatbelts provided where applicable. These will be lap belts in the vintage bus.

Any children under the age of 18 must be escorted by a responsible adult whilst travelling in the vehicles and a ‘consent to travel’ form must be completed by the child’s parent or legal guardian before the day. Triple White Weddings are unable to provide booster seats and recommend alternative transport is used if these are required. Children must be supervised at all times in and around the vehicles.

Triple White Weddings Ltd reserve the right to alter these terms and conditions at any time.

Data Protection

Any information that you provide to us will be kept securely in order to provide you with our service on your wedding day. We will never pass your details on to any third party. Your information will only be accessed by Triple White Weddings employees who need the information in order to provide a service to you. Your details will not be kept longer than necessary and we will not use your contact information to send you anything other than direct communication regarding your wedding.

Welcome to Triple White Weddings and congratulations on your engagement! Choosing transport for your special day is more than just choosing a vehicle, and our chauffeured service in our iconic vehicles is personal and attentive.

We offer a tailored service for your big day, from choosing the colour of ribbon to planning photograph stops en route to your venue. We hope we have thought of every last detail so you can sit back and enjoy your journey in these very special vehicles.

We are a husband and wife team and have been running our family business since 2013. We have a passion for VW’s which, combined with our enthusiasm, pride and professionalism, we hope will give you everything you are looking for when booking transport for your big day.

What’s Included?

We offer a full chauffeur-driven service. For every booking the VWs will be dressed in the ribbon colour of your choice, and will be valeted inside and out. If you fancy something a little more creative to decorate the vehicles we will be happy to discuss your ideas! We only ever cover one wedding per vehicle per day so you will have our undivided attention on your special day.

Locations We Cover

We cover Milton Keynes and parts of Buckinghamshire, Bedfordshire, Oxfordshire, Hertfordshire and Northamptonshire. We limit our vintage vehicles to destinations within a 30 mile radius. If you are a little further out we may be able to help – call us to discuss your requirements.

We appreciate how important it is to provide you with the peace of mind you get from a high quality service on your big day, which is why our vehicles are maintained to a high standard.

We are fully insured and licensed for wedding car hire with public liability insurance and we will be pleased to show you our documentation on request.

Standard hire is for a maximum of 3 hours from pick up.

Food and drink is not permitted in the vehicles unless by prior consent.

Prices are banded based on the total distance to be travelled from the vehicles’ base with a limit of 80 miles total.

Passenger numbers may be restricted due to Covid 19.

Our vintage vehicles are not available during the winter months.

We are not licensed to cover proms.

Please note we are legally unable to transport children under the age of 3.
